There are several methods to track summer camps, and the best way will depend on your situation. The good news is that it’s easy to do and just requires some initial setup.
1. Enrollment Status
For this method, a child’s enrollment status is changed to Summer Break when they are not at the center, and Enrolled on weeks when they are present. This can be set up beforehand, as soon as you are aware of each child’s summer schedule.
2. Tracking Codes
With this technique, you set up the weeks of your camp and then assign them to the children who will be attending each week. This makes it easy to create sign-in sheets and get quick counts of the children enrolled each week.
3. Schedule with Absences
If you prefer to have a single schedule for an overall view of your summer, children can be marked absent when they are away or on vacation. This scenario works best when most of your children will be present for the majority of the summer.
4. Multiple Schedules
This is the most complex way to track summer programs, but it has advantages too. You’ll have the most control over billing and no need to record absences; children will be charged for only the weeks they are scheduled.
