It’s the first day of the month and a Monday too. You have some parents who pay tuition weekly, some monthly, and even a few who pay biweekly. There’s a flurry of activity in the office of your child care center or preschool because everyone has a balance due today—which means lots of questions for your front desk staff to answer. Does this hectic scenario sound familiar?
You’d like to simplify payment collection and relieve the recurring chaos on tuition due days, but first you need a way to separate payments based on whether a family pays weekly or monthly, etc. The random sticky notes on your calendar haven’t done the trick.
Well, there is good news for you!
Collect Payments Electronically
Automated payments are simple for you and convenient for parents. Funds go from the bank account of each family directly into your account, so you always get paid on time. You can also choose to accept debit and credit cards—the option most requested by parents—and let them pay online or when they check their children in. If you’re already using Procare Software to manage your center, you probably know about Tuition Express, which offers all these options and is fully integrated with Procare.
Separate Your Weekly and Monthly Payments
On those occasions when everyone has a balance due at the same time, you may choose to collect payments from a specific group of families at once, for instance those who pay weekly, separate from those who pay biweekly or monthly. In Procare this is easy to do by using Tracking Codes (image below) to indicate their payment cycle.
Then, when you’re ready to collect payments, just use the Filter Accounts button (image below) to choose the group you want to process. That’s all there is to it!
